You must keep a record of this information and present it to HMRC when requested.

Reference type
Enter the customs declaration reference for which the goods were released under for free circulation, using the relevant code and indicate the type of document
Supporting document
Include the reference of the issuing authority of the licence or certificate, the validity period of the licence or certificate, the writing off amount or quantity and the measurement unit
Reference number
Using the relevant Union Codes, identify or reference the number of Union or international documents or certificates produced in support of the declaration and indicate the type of document
Additional reference
Provide additional reference numbers which are not covered by the supporting documentation
Other reference numbers
Provide additional reference numbers not provided with supporting documentation, for example, transport documents and enter the relevant code on the document

Estimated date and time of arrival at the port of loading
Provide the scheduled estimated date and time of the vessel arrival at the port of unloading
Requested validity of proof
Enter the requested validity of proof of the customs status of Union goods expressed in days as the person requesting the proof may request a longer period of validity as laid down in Article 123. The justification of the request shall be provided in Data Element 12 02 000 000 Additional information
Types of packaging, weight, marks and codes

Gross Mass
The gross mass is the weight of goods including packaging, but excluding the carrier’s equipment for the declaration
Description of goods
A plain language description that is precise enough for customs services to be able to identify the goods. General terms, such as ‘consolidated’, ‘general cargo’, ‘parts’ or ‘freight of all kinds’ are not precise enough descriptions cannot be accepted. A non-exhaustive list of such general terms and descriptions is published by the Commission
Packaging
This data element relates to details of the packaging of the goods subject to the declaration or notification
Type of packages
The code that specifies the type of package
Number of packages
Total number of packages based on the smallest external packing unit. This is the number of individual items packaged in such a way that they cannot be divided without first undoing the packing, or the number of pieces, if unpackaged. This information shall not be provided where goods are in bulk
Shipping Marks
Description of transport units or packages — this can be words, numbers or symbols. If the goods are in a container, the number of the container can be used

Enter the commodity code number corresponding to the item in question
